Templates

WhatsApp Templates are pre-approved message layouts from Meta. Manage them under Broadcasts → Send → Templates. Only Approved templates can be used in campaigns or for Inbox Utility sends.

Upload header samples once in the Media Library, then pick them when creating IMAGE or DOCUMENT headers.

Open Templates

  1. In the sidebar, open Broadcasts.
  2. Under Send, select Templates.

Page title: WhatsApp Templates.

Sync from Meta

On the Templates list, click Sync from Meta (Syncing… while in progress). Subtitle: Synced templates follow Business Manager on the next sync; local drafts with no Meta id are left as they are. When a sync has run, the page shows Last sync with the local date and time.

After a successful sync, Kazenly reports counts such as created / updated / linked / unchanged / missing / failed.

List badges you may see:

  • Header IMAGE or Header DOCUMENT (or other non-text header formats) — header type from Meta
  • Missing on Meta — was in Kazenly but is no longer on the WABA; not selectable for campaigns or Inbox Utility send
  • Quality pill — same as Settings phone quality: High Quality · Medium Quality · Low Quality · Quality Pending (from Meta after Sync from Meta or Refresh status)

Use Sync from Meta (and Refresh status) after Business Manager creates or edits templates, and after Dashboard IMAGE / DOCUMENT templates leave Pending. Quality ratings update on those refreshes too.

Create a template

  1. Click New Template (empty list may show Create Template). Form title: Create Template.
  2. Note in the form: Save a draft, then Submit to Meta from the template list or details.
  3. Set Name, Category (Utility, Marketing, or Authentication), Language, and Body.
  4. Header — choose Text, Image, or Document:
    • Text — optional header line (variables {{1}}, {{2}}; do not start or end with a variable).
    • Image — pick a JPEG/PNG from the Media Library. Hint: Pick a JPEG/PNG from the Media Library. Meta reviews this sample; campaigns and inbox send use the library public URL later. While preparing: Preparing Image Sample for Meta…. After pick: Sample: … · Ready for Meta Submit. Error if missing: Pick a JPEG/PNG from the Media Library before saving this draft.
    • Document — pick a PDF from the Media Library the same way (Preparing PDF Sample for Meta…). Error if missing: Pick a PDF from the Media Library before saving this draft.
  5. For Utility / Marketing, optional Buttons (up to three):
    • Add Website — Visit Website button. Choose Link Type Fixed (full HTTPS URL) or Dynamic (base URL ending in {{1}} plus required Sample Suffix for Meta). Preview may show a Dynamic badge. At send time, campaigns and Inbox fill the dynamic suffix.
    • Add Flow — button that opens a published WhatsApp Flow. Authentication templates cannot use a Flow button.
    • Call / Quick reply buttons are not available yet.
  6. Save the draft.

Authentication templates follow Meta’s OTP rules. Create them in Meta Business Manager, then register by pasting the Meta Template ID — free-text body submit is not supported for authentication. Header Image / Document create is for Utility / Marketing drafts in Kazenly.

Message preview shows the header image thumb or document row (when set), unfilled {{n}} as amber chips, and Visit Website buttons under the bubble (with Dynamic when applicable).

Template details (IMAGE / DOCUMENT)

On Details, a media header shows the header format and sample file name when available. That sample is for Meta review — live campaign and Inbox sends use the Media Library public URL (or an Advanced HTTPS URL you paste at send time).

Details also shows a Quality row with the same quality pill (and the time Meta last scored it, when available). Meaning of each pill: Quality Rating and Messaging Limit.

Submit to Meta

  1. From the list or details, click Submit to Meta (Submitting… while in progress).
  2. Status becomes Pending, then Approved or Rejected.

Filter by status (Pending, Approved, Rejected) or by category.

Rejected templates

When status is Rejected, open the row or Details and read Rejection reason (Meta’s code or hint, for example an incorrect category).

Then follow Template Rejected: do not resubmit the same row — create a new draft with a new name after fixing content.

Other actions: Refresh status · Edit.

Approved vs draft

StatusMeaning
DraftSaved in Kazenly only — not sent to Meta yet.
PendingSubmitted; waiting on Meta.
ApprovedReady for campaigns and Inbox Utility send.
RejectedMeta declined — see rejection reason; new name required.

Categories

  • Utility — transactional updates; also used for Inbox Utility send.
  • Marketing — promotional; keep consent and Meta policy in mind. See Opt-out Instructions for Marketing Templates for the STOP warning and recommended footer.
  • Authentication — OTP/login; usually created in Meta first, then linked by ID.

Marketing opt-out (STOP)

For Marketing drafts and Meta-synced marketing templates, Kazenly shows a non-blocking warning when the footer, body, and buttons lack the word STOP. Use Add footer: Reply STOP to unsubscribe, or dismiss if you handle opt-out another way. Details: Opt-out Instructions for Marketing Templates.

Footer text is limited to 60 characters (live counter on the field).
